Privacy Policy

BeatBid (“we”, “us”, “our”) operates the BeatBid mobile application and this website. This Privacy Policy explains what information we collect, how we use it, who we share it with, and the choices you have — including how to delete your account.

1. Who this applies to

This policy applies to anyone who creates a BeatBid account, joins a room or club, or visits our website. If you do not agree with this policy, please do not use the service.

2. Information we collect

Account information

Email address — used to create and sign in to your account.
Display name — shown to other participants in rooms and clubs.
Password — stored only as a one-way hash; we never store plain-text passwords.
Language preference — used to localize in-app and push notification copy.

Activity in the app

Rooms and clubs you join, and your role in each (guest, DJ, host).
Song suggestions you submit, votes you cast, and related queue activity.
Ephemeral in-app notifications tied to your suggestions (e.g. approval, milestones).

Device and technical data

Push notification token — if you allow notifications, we store an Expo push token linked to your account so we can deliver alerts when the app is closed.
Device platform (iOS or Android) — associated with your push token.
Real-time connection data — while you are in a room, we track live presence (e.g. participant count) over WebSockets. Presence entries expire automatically.
Authentication token — a session token stored securely on your device after sign-in.

Camera (optional)

If you choose to scan a room QR code, the app requests camera access only at that moment. We do not record or store camera footage. The QR payload is used solely to join a room.

What we do not collect

We do not sell your personal information.
We do not use advertising trackers or third-party analytics SDKs in the app.
We do not collect precise location data.

3. How we use information

Provide the core service: rooms, voting, playlists, and real-time queue updates.
Authenticate you and keep your session secure.
Send push or in-app notifications about meaningful events on your own suggestions.
Operate clubs, rooms, and moderation features for DJs and hosts.
Improve reliability, prevent abuse, and respond to support requests.
Comply with legal obligations.

4. Song search and third-party services

When you search for songs, BeatBid first queries our own catalog. If no local match is found, we may query the YouTube Data API (Google) using your search terms. That request is sent from our servers — your account is not shared with YouTube for search. BeatBid uses YouTube API Services; by using song search you agree to the YouTube Terms of Service. Google's privacy policy applies to their processing: policies.google.com/privacy.

Push notifications are delivered through Expo Push Notification Service. Expo processes device tokens to route messages. See expo.dev/privacy.

5. How long we keep data

Room party data (votes, suggestions, notifications for a room) is treated as ephemeral and cleared when a room ends or is reset for a new night.
Account data is kept until you delete your account or ask us to remove it.
Push tokens are removed when you sign out, delete your account, or when delivery fails permanently.
Song metadata from YouTube — refreshed or removed within 30 days, per YouTube API Services policy.

6. How we share information

We share information only in these situations:

With other users in the same room or club — your display name, avatar initial, suggestions, and votes are visible to participants as part of the live experience.
With service providers — infrastructure hosting, push delivery (Expo), and optional song search (Google/YouTube), under contracts that limit use to providing the service.
For legal reasons — if required by law, court order, or to protect rights, safety, and integrity of the service.

We do not sell or rent personal information to third parties.

7. Your choices and rights

Notifications — you can disable push notifications in your device settings at any time.
Camera — you can join rooms with a manual code instead of scanning a QR code.
Access / correction — update your display name in the app; contact us to correct account email issues.
Sign out — removes the session token from your device and unregisters push tokens for that device.

8. Delete your account

You can permanently delete your BeatBid account at any time. Deletion removes your profile, memberships, votes, push tokens, and notification history. If you own clubs, those clubs and their rooms/playlists will also be deleted. This action cannot be undone.

In the app

Open Profile (bottom tab).
Scroll to the bottom and tap Delete account.
Enter your password and confirm.

By email

If you cannot access the app, email hello@beatbid.app from the address linked to your account with the subject line “Delete my BeatBid account”. We will verify ownership and complete deletion within 30 days.

9. Security

We use industry-standard measures including encrypted transport (HTTPS/TLS), hashed passwords, and authenticated API access. No method of transmission or storage is 100% secure; please use a strong, unique password.

10. Children

BeatBid is not directed at children under 13 (or the minimum age required in your country). We do not knowingly collect personal information from children. Contact us if you believe a child has provided us data and we will delete it.

11. International users

BeatBid may process and store information in countries other than where you live. By using the service you consent to this transfer, subject to applicable law.

12. Changes to this policy

We may update this Privacy Policy from time to time. We will post the revised version on this page and update the effective date. Continued use after changes means you accept the updated policy.
